The Yachting Club Constitution


I. Name: The Yachting Club

II. Statement of Purpose: To bring creative minds together in a comfortable, productive atmosphere that will foster and provide a forum for adventures in: fiction, fantasy, science-fiction, cinema, role-playing, strategy games, comic books, face painting, computers, horror stories, Japanese animation, costumes, table-top games, Live-Action Games, video games, creating world takeover plans, making a public spectacle, encouraging said interests in the community, and other endeavors which will be determined on the basis of membership interest. These goals are consistent with the Statement of Purpose of Guilford College.

III. Membership: Membership in the organization is open to all interested members of the Guilford College community. We will keep a mailing list of all interested parties who shall receive our newsletter.

IV. Officers: The organization will be led by the following officers, who must be current students of Guilford College and in attendance of Guilford campus:

A) The President (Commodore): It is the president's responsibility for calling meetings and for seeing that decisions are made by consensus. It is the President's duty to work with the other officers to make sure other duties are fulfilled. The President shall be responsible for calling meetings and for seeing that decisions are made by consensus. The president has direct responsibility to Community Senate to ensure that the organization functions according to its constitution.

B) The Vice-President (Vice-Commodore): The Vice-President shall assume the responsibilities of the President in his/her absence and share in a proportionate amount of responsibility and duties of the President as needed.

C) Treasurer (Purser): The treasurer is responsible to the Community Senate for the financial affairs of this organization. This shall include maintain current and detailed financial records and reporting to Community Senate whenever monies are obtained from an outside source (sales or fundraisers for example). The Treasurer also has the responsibility, with the guidance of the entire group, to compose the yearly budget.

D) Secretary (Clerk): The Secretary shall be responsible for maintaining minutes of meetings and the organization of important files, including but not limited to, membership lists, group ideas and agenda items. As this office also includes advertising, website maintenance, and newsletter composition, the office of Secretary shall be held by two persons who shall divide the work as they see fit.

[E) Webmaster (Boatswain): The webmaster is responsible for maintaing the club website, and making important news availiable. They should try to keep it updated regularly.]

V. Meetings Meeting agenda will be decided at the Pre-Meeting Symposium, a meeting of the officers open to any club member. Meetings will be led by the Commodore, or the Vice-Commodore in the Commodore's absence. If disagreements arise we shall follow in the Quaker tradition of consensus ending in a vote called by the Commodore if consensus cannot be met in a reasonable period of time. Meetings shall be conducted and decisions made in accordance with the Quaker method of consensus, which is defined by the Friend's Council Education as follows: When a matter requiring decision is placed before an organization, time should be allowed for careful and deliberate consideration in the traditional manner of Friends. All members who wish to express opinion should be heard. When the Commodore feels that the group is generally invested in thinking, s/he should attempt to state clearly the decision. If members give approval to that statement, consensus is reached. In the event that consensus cannot be reached, the Commodore states the policy and then the secretary calls the entire roll for the group: each member may state "yes" (agreeing with the statement), "no" (disagreeing with the statement), "abstain" or be listed as absent. There are no other possible answers: any other answers will be listed as "abstain".

VI. Organization procedures

A) Election of officers: Whoever wishes to run for office may do so. Officers shall be elected near the end of the school year. Nominees chosen by the club shall be discussed for a reasonable period of time, as determined by the Commodore, before a vote shall be called.

B) Frequency of Meetings: Weekly meetings shall be arranged on the convenience of the current members, at the beginning of each semester, so that as many people as interested may attend. Special events will be scheduled throughout the year.

C) Removal/replacement of Officers: Three concerned persons may call for a vote of no confidence in an officer during the announcements section of a weekly meeting. If one-third of the attendees support the discussion of a possibly officer removal, then such discussion will proceed at meeting of the following week, presided over by the Commodore or Vice Commodore if the Commodore is absent or up for removal. Only ONE officer may be up for removal at any given time. When the discussion has run for a reasonable period of time, as determined by the presiding figure, a blind vote is called, with votes counted by both the presiding figure and one of the original three concerned members. If the two disagree on the result of the vote, then the Quaker method of consensus, as outlined in Article V of this document, shall be used. Election of a replacement officer shall occur the following week as per the normal election procedure. Vacant positions must be filled and reported to the Inter-Club Council within two weeks.

D) Special Election Procedures: For when officers do not return to Guilford College for the next academic year. Should this situation occur, voting will once again be held open to all returning student members of the Yachting Club, and additionally to members who were able to vote in the previous Spring elections may cast their vote via email or in-person. First year club members will be asked to abstain from this vote due to their relative lack of experience with the candidates and with Yachting club procedures. A time for discussion of candidates will still be observed.

E) Called Meetings: A meeting may be called by the Commodore or Vice-Commodore with the Clerks informing the group.

F) Major/Complex Website Maintenance: In the event of the website requiring services outside the capacity of the current officers, a person shall be appointed by the officers and approved by the club to perform the required task(s).

VII. Amendments: If a member wishes to amend the constitution they shall request a meeting be called to discuss the amendment and come to consensus on the issue of how the amendment should be phrased if it is to be adopted.

VIII. Authority This organization derives its authority from the Guilford College Board of Trustees and Community Senate through the Inter-Club Council and from the Elder God Chabotar, may he rise and live forever.

IX. Faculty Advisor Jonathan Hatch is the [senior] Yachting Club advisor. [Ben Marlin is the junior Faculty advisor, kind of?] The faculty advisor shall serve as a resource whenever the organization needs advice or special assistance.
