SUMMER SESSION 2009 CLOSING INFORMATION

Ten and 2nd Five Week Sessions

Dear Summer Session Resident:

We hope you have had an enjoyable summer so far.  The end of the summer session is upon us and we wanted to share some information with you regarding check-out procedures.  All students need to vacate their residence hall rooms within 24 hours of their final exam or scheduled class event. Check-out for the summer session residents is no later than Saturday, July 25th by 6:00pm.  This deadline is one that will be strictly enforced, and failure to abide by it will result in significant fines ($75.00 for improper check out and $50 per hour after the 6:00pm deadline).  It is imperative that you clean your room properly, plus you do not want to incur any room damage fines.

You must check out with your Resident Advisor (RA) or complete an Express Checkout form.  If you choose to do a traditional check out, please make an appointment before Thursday at 5:00 pm.  Contact your RA to make an appointment or notify them you will be doing an Express Check Out.  DO NOT WAIT until Saturday morning to try to set up your appointment, as your RA or HD may not be available at the time you need to check out.  Failure to check out and complete your Room Condition Report (RCR) will result in the automatic $75.00 fine, so please check out and avoid the fine! 

EXPRESS Check-Out

EXPRESS Checkout is the ability to checkout of your room without scheduling a traditional checkout appointment (meeting with a RA). An EXPRESS Check-Out entails: cleaning and preparing your room according to the checkout checklist, placing the key in the key envelope (available by the key box on the first floor of Bauman) along with the signed “EXPRESS Check-out Waiver Form,” and placing the envelope in the "drop box" located in Bauman by the first floor door. The RA will then inspect your room when you are not present. NOTE: Damages assessed to individuals who use EXPRESS Checkouts, CANNOT be appealed.

  • “EXPRESS Check Out Waiver Forms” are available at www.guilford.edu/housing, at the Drop Box in Bauman or outside the Campus Life Office.
  • Sign-up with your Resident Advisor to indicate that you will do the EXPRESS Check Out.
  • Clean your room as expected. (See checklist below)
  • Sign the EXPRESS Check Out Waiver form and deposit your key and the signed waiver in the designated drop location. Write your name and hall/room number on the envelope.
  • Depart campus. Any keys found in the key box after the Saturday, July 25th 6:00pm deadline will result in a $75.00 late fee, plus per hour charges.
  • Staff will inspect your room after you leave.

FINAL ROOM CHECKOUT:  Room/house damages:  By checking out, you will automatically have your room inspected for damages.  If any damages are obvious, please give Campus Life information about who should be charged for damage to your room/house.  Campus Life and Facilities staff members who make final damage assessments will consider that information.  The Office of Student Accounts will notify you of any damage charges.  If you need to inquire about or you disagree with any charges, you must appeal in writing to the Campus Life Office (reslife@guilford.edu) by August 31st.  No appeals will be accepted after this date, nor will telephone inquiries be accepted.

To try to avoid damage charges, please complete the following closing tasks:

  • Remove all pictures, signs, decorations, sticky tack, tape, nails, etc. from ceiling, walls, doors, closets, and furniture.
  • Remove all belongings from room (check closets and drawers); deposit your trash in the designated trash area, and clean your room carefully. Your room should be swept out, vacuumed and/or mopped before checkout; a cleaning fee will be assessed to the residents of those rooms that need extra cleaning.  You will be charged if anything more than routine cleaning by our housekeeping staff is necessary.
  • Beds must be properly assembled and furnishings must be returned to the appropriate room/alternative house. Failure to do so will result in a fine.
  • Remove all unwanted items and trash. Please begin throwing out trash as soon as possible.  If all trash must be removed at the very end of the semester, it puts a lot of pressure on the Housekeeping staff.   If you have a couch or other large items that you wish to discard, you must carry them outside and leave them next to a dumpster.  If there is any trash left near your room/suite/alternative house, you will be charged a removal fee.
  • Close and lock windows.  Leave the blinds completely up.

For those of you completing a traditional check out: 

  1. Your room must be completely empty (or at least your half of the room) and clean when the RA or hall director comes to check you out. 
  2. You must turn your key in at the time of check out to the RA or hall director.  Go over your RCR carefully and retain the yellow copy of the RCR for your records.

SUMMER STORAGE: The College does not have storage space for the remainder of the summer.  Please make arrangements with a friend who lives off campus or with a local storage facility to store your belongings.
