Residence Hall Closing Notices
Closing Notices are posted two to three weeks prior to the breaks or at the end of each semester. Check the College Calendar for hall closing dates and times.
Fall, Thanksgiving and Spring Breaks - The residence halls and dining services are officially closed during these time periods. However, if a student needs to stay in his or her room during a break, they may as long as the student signs a contract with Residence Life to remain during a portion or all of the break. The contract will be available in the Campus Life office approximately two weeks prior to the break for students to sign. Check the closing notices for any updates about dining services during the breaks.
Winter Break (Dec. - Jan.) - All students are expected to leave during the winter break and be gone by the closing date and time. Students who are leaving Guilford at the end of the semester and not returning in January are expected to following the Winter Break Residence Hall Closing Notice procedures and check-out of their rooms properly.
SPRING SEMESTER 2008
END OF THE YEAR CHECK OUT INFORMATION
ATTENTION: ALL RESIDENTIAL STUDENTS
Quiet Hours: Beginning on Tuesday, April 29th at 11:00 pm, Quiet Hours will be enforced 24 hours a day until the end of the semester! Please be mindful that your fellow residents are studying, writing papers, etc… Please keep your stereos, TVs, and voices in “quiet mode” until the end of the semester.
WHEN DO THE HALLS CLOSE? All students (except graduating seniors) MUST vacate their residence hall rooms 24 HOURS AFTER THEIR LAST EXAM or BY 6:00 PM, THURSDAY, MAY 8, 2008, WHICHEVER COMES FIRST. The only students authorized to stay beyond this time are graduating seniors, Residence Life staff, and those approved through a faculty or staff member or who are directly involved with Commencement. Staff or faculty members outside of Residence Life will need to contact Residence Life with the request to stay in writing (by email). Persons failing to vacate by the deadline will be assessed a $100.00 per night fee and face judicial charges.
Graduating seniors may remain until 8:00pm on Saturday, May 10, 2008. Any graduating senior staying until Saturday, May 10, 2008 is encouraged to do the EXPRESS Checkout, otherwise, seniors must have their rooms checked out by a residence life staff member by 8:00pm on Saturday. Graduating seniors checking out prior to Saturday should contact their RA. Seniors checking out on Saturday need to do the Express Check-Out or you can go to the Founders Hall lobby or Community Center lounge between 1:30-7:30pm for a traditional check-out with a Residence Life staff member. Any seniors found in the halls or keys found in the key box after 8:00pm will be assessed a $100.00 fine.
ROOM CHECK OUT PROCEDURES
Failure to complete one of the following check-out procedures will result in an improper check-out fine of $75.00 and failure to return room key will result in an additional $75 fee.
EXPRESS Check-Out
EXPRESS Checkout is the ability to checkout of your room without scheduling a traditional checkout appointment (meeting with an RA).
- “EXPRESS Check Out Waiver Forms” are available at www.guilford.edu/housing, or the Campus Life Office or the Public Safety Bubble.
- Notify your RA that you will do the EXPRESS Check Out, and the date/time you plan to depart campus.
- Clean your room as expected. (See checklist below)
- Request an EXPRESS Check Out envelope from the Security Bubble Control on Bauman 1st floor.
- Sign the EXPRESS Check Out Waiver form and deposit your key and the signed waiver in the drop box located in front of the Public Safety Security Bubble on the 1st floor of Bauman. Write your name and hall/room number on the envelope.
- Depart campus.
- Staff will inspect your room after you leave. NOTE: Damage charges and fines assessed to individuals who use EXPRESS Checkouts, CANNOT be appealed.
Traditional Check-Out
The traditional method requires the RA to examine the room with you and to document any changes to your Room Condition Report (RCR) since the time of move in. If any damage or cleaning issues exist, the RA will inform you of any anticipated charges. Once you have removed ALL your belongings from the room and cleaned your personal “living space” according to the checklist, you are ready to be checked out from the room.
- Schedule your check-out appointment with your RA at least 24 hours in advance of leaving.
- Clean your room as expected.
- Inspect your room with the RA (encourage your roommate to join).
- If there are charges, you may request an appeal in writing. The deadline for room damage appeals is June 30, 2008.
- Sign RCR & return room key to the RA.
All Residents Are Expected To…
Regardless if you complete a traditional or EXPRESS checkout, you will be responsible for each of the following tasks. Failure to satisfactorily complete these tasks will result in damage/cleaning charges assessed to EACH RESIDENT in the room/suite/apartment/house. Each resident is responsible for the condition of the common room/bathroom (suite, house or apartment).
- Schedule a traditional checkout appointment or register for an EXPRESS checkout with your RA. If doing a traditional checkout, roommates/suitemates are encouraged to checkout together.
- Collect and remove all trash from your room. Dispose of large items (carpet, lumber, furniture, etc.) in the designated dumpsters located outside your residence hall. Do not leave anything in the halls, stairwells or bathrooms.
- Carefully remove nails, tape, stickers, decals, etc. from all room surfaces (doors, walls, windows, etc.). Return walls to original condition.
- Clean out all drawers, wardrobes and closets.
- Clean all room surfaces (and furniture surfaces) of any dust and dirt.
- Sweep, vacuum and/or mop floor.
- Close and lock windows.
- Where applicable, clean bathrooms (shower, toilet, sink and floor) in the houses and apartments, suites or sinks in rooms
- Neatly arrange all furniture (reassemble your bed parts if you had a loft)
- Window shades (blinds) should be left open.
- Turn off lights.
- Close and lock doors.
- Take home all belongings. No storage is available on campus. The college reserves the right to dispose of all items left after checkout. Fees will be assessed if you leave anything in your room.
- Do not park on any grassy area while loading your car.
MAIL: It is the student’s responsibility to notify ALL correspondents of his/her summer address. U. S. Mail forwarding address cards are available from the Mailroom window. College mail service change-of-address cards are available from the Mailroom.
GUILFORD DINING: The last meal for all students who aren’t graduating will be lunch on Thursday, May 8th. Specific meal times for graduating seniors who do not live in the apartments, RA’s, and undergraduates helping with commencement will be posted in the dining hall.
FINAL ROOM CHECKOUT: At the conclusion of the traditional room checkout, the RA and resident should sign the Room Condition Report. Give your RA information about who should be charged for damage to your room/suite/apartment/house. That information will be considered by Residence Life and Maintenance Staff members who make final damage assessments. If there is any damage, cleaning, or improper checkout fees, they will be added to your student account. If you disagree with any charges, you must appeal by email to the Residence Life (reslife@guilford.edu) office by June 30, 2008. NO APPEALS WILL BE ACCEPTED AFTER THIS DATE. TELEPHONE INQUIRIES ABOUT BILLING WILL ALSO NOT BE ACCEPTED.
ALL RESIDENTIAL COMMON AREAS: Please note, DO NOT leave any room furnishings, discarded items or trash in any of the common areas of the residence halls, apartments or theme houses. Extra dumpsters will be provided in all hall locations. Failure to comply may result in common area damage charges for that entire hall.
