Residence Hall Closing Notices

Closing Notices are posted two to three weeks prior to the breaks and at the end of each semester. Check the College Calendar for closing dates and times.

Fall, Thanksgiving and Spring Breaks - The residence halls and dining services are officially closed during these time periods. However, if a student needs to stay in his or her room during a break, they may as long as the student signs a contract with Residence Life to remain during a portion or all of the break. (Registration to remain in the halls is not required for Thanksgiving break.) The contract will be available in the Campus Life office approximately two weeks prior to the break for students to sign.

Dining services are not available during breaks.

Winter Break (Dec. - Jan.) - All students are expected to leave during the winter break and be gone by the closing date and time. Students returning for the spring semester may leave their belongings in their rooms, but should make sure the room is secured. You may also want to take any valuables with you.

Students who decide to leave Guilford during the semester will be given instructions from the Campus Life Office regarding the withdrawal process. Those who live on campus should notify their RA or HD that they are leaving. Students have 24 hours to vacate their residence hall room once Campus Life is notified. Residents should return their room key to their RA and complete a Room Condition Report.

Hall Closing

WHEN DO THE HALLS CLOSE?  All students MUST vacate their residence hall rooms 24 HOURS AFTER THEIR LAST EXAM or OR BY THE CLOSING OF THE RESIDENCE HALLS , WHICHEVER COMES FIRST.  The only students authorized to stay beyond this time are Residence Life staff and those approved through a faculty or staff member. Staff or faculty members outside of Residence Life will need to contact Residence Life with the request to stay in writing (by email).  Persons failing to vacate by the deadline will be assessed an hourly fine and may face judicial charges.

 

Residents will be notified via email concerning check out information and dates approximately two weeks prior to closing.

ROOM CHECK OUT PROCEDURES

Failure to complete one of the following check-out procedures will result in an improper check-out fine of $75.00 and failure to return room key will result in an additional $75 fee.

EXPRESS Check-Out

EXPRESS Checkout is the ability to checkout of your room without scheduling a traditional checkout appointment (meeting with an RA). An EXPRESS Check-Out Agreement entails: cleaning and preparing your room according to the checkout checklist, placing the key in the key envelope along with the signed “EXPRESS Check-out Waiver Form,” and placing the envelope in the "drop box" located in Bauman by the first floor door near the Security Bubble. The RA will then inspect your room when you are not present. You will be responsible for any damages that are documented and you will NOT be able to appeal them.

  • “EXPRESS Check Out Waiver Forms” are available at www.guilford.edu/housing, the Bubble or the Campus Life Office (during business hours).

  • Sign-up with your RA to indicate that you will do the EXPRESS Check Out.

  • Remove your belongings and clean your room.

  • Sign the EXPRESS Check Out Waiver form and deposit your key and the signed waiver in the designated drop location. Keys must be deposited in the key box by the closing deadline. Keys and waiver forms deposited after the 6:00 pm closing deadline will be considered late and result in a fine.

  • Depart campus.

  • Staff will inspect your room after you leave.

NOTE: Damages assessed to individuals who use EXPRESS Checkout CANNOT be appealed.

Traditional Check-Out

The traditional method requires the RA to examine the room with you and to document any changes to your Room Condition Report since the time of move in. If any damage or cleaning issues exist, the RA will inform you of any anticipated charges. You must schedule an appointment with your RA.  To do so, contact your RA directly.  The meeting with your RA should occur after your belongings have been removed from the room.  Once you have removed ALL your belongings from the room and cleaned your personal “living space” according to the checklist, you are ready to be checked out from the room.  DO NOT CONTACT YOUR RA TO CHECK YOU OUT AT THE LAST MINUTE.  MAKE AN APPOINTMENT.  ROOM KEYS MUST BE TURNED IN TO YOUR RA WHEN YOU HAVE COMPLETED THE TRADITIONAL CHECK OUT PROCESS. 

  • Remove all your belongings and clean your room. Inspect your room with the RA (encourage your roommate to join).

  • If there are charges, you may submit an appeal by email. The deadline for written appeals is sixty days days from the hall closing date at the end of each semester.  Appeals should sent via email to Reslife@guilford.edu.

  • Sign RCR & return room key to the RA.

All Residents Are Expected To…

Regardless if you complete a traditional or EXPRESS checkout, you will be responsible for each of the following tasks. Failure to satisfactorily complete these tasks will result in damage/cleaning charges assessed to EACH RESIDENT in the room/suite/apartment/house. Each resident is responsible for the condition of the common room/bathroom (suite, house or apartment).

 

  • Schedule a traditional checkout appointment or register for an EXPRESS checkout with your RA. If doing a traditional checkout, roommates/suitemates are encouraged to checkout together.

  • Collect and remove all trash from your room. Dispose of large items (carpet, lumber, furniture, etc.) in the designated dumpsters located outside your residence hall. Do not leave anything in the halls, stairwells or bathrooms.

  • Carefully remove nails, tape, stickers, decals, etc. from all room surfaces (doors, walls, windows, etc.). Return walls to original condition.

  • Clean out all drawers, wardrobes and closets.

  • Clean all room surfaces (and furniture surfaces) of any dust and dirt.

  • Sweep, vacuum and/or mop floor.

  • Close and lock windows.

  • Where applicable, clean bathrooms (shower, toilet, sink and floor) in the houses and apartments, suites or sinks in rooms

  • Neatly arrange all furniture (reassemble your bed parts if you had a loft)

  • Window shades (blinds) should be left open.

  • Turn off lights.

  • Close and lock doors.

  • Take home all belongings. No storage is available on campus. The college reserves the right to dispose of all items left after checkout. Fees will be assessed if you leave anything in your room.

  • Do not park on any grassy area while loading your car.

MAIL:  It is the student’s responsibility to notify ALL correspondents of his/her summer address.  U. S. Mail forwarding address cards are available from the Mailroom window.  College mail service change-of-address cards are available from the Mailroom.

BICYCLES:  If you have a bicycle on campus, you must take your bike home (unless you are here for summer school, in which case you must register the bicycle with the Public Safety Office). If you leave your bicycle here, or anywhere that is not a bike rack, they will be confiscated and held at the owner’s expense.

 

FINAL ROOM CHECKOUT/ROOM DAMAGE CHARGES:   At the conclusion of the traditional room checkout, the RA and resident should sign the Room Condition Report.  Give your RA information about who should be charged for damage to your room/suite/apartment/house.  That information will be considered by Residence Life and Maintenance Staff members who make final damage assessments.  If there is any damage, cleaning, or improper checkout fees, they will be added to your student account.  When you receive your bill for the fall in June, please check for any room damage charges that also may be on there. Graduating seniors will receive a final bill from the college several weeks after graduation. If you disagree with any charges, you must appeal by email to the Residence Life (reslife@guilford.edu) office within 60 days of the residence hall closing date.  NO APPEALS WILL BE ACCEPTED AFTER THIS DATE.  TELEPHONE INQUIRIES ABOUT BILLING WILL ALSO NOT BE ACCEPTED.

ALL RESIDENTIAL COMMON AREAS: Please note, DO NOT leave any room furnishings, discarded items or trash in any of the common areas of the residence halls, apartments or theme houses. Extra dumpsters will be provided in all hall locations. Failure to comply will result in common area damage charges for that entire hall.
