An Important Message from Residence Life
As President Kent John Chabotar stated in his "Open Letter to the Guilford Family" in May, current enrollment projections were correct, and it appears we may have the largest first year class in our history, exceeding the current record of 444 students. In addition, our persistence rate among upperclassmen increased, leaving us with 1464 traditional students registered for the fall, as of July 2, 2009. While economically this is a great situation to be in, it does lead to some issues in other realms of the college. As you may have heard, housing is tight for the fall. While we have made every effort to house as many students as we can, it is just not possible to house all of the students who wish to be in college housing, even after granting off campus permission to the students who so desired, extending the invitation to others who may have changed their minds, and after tripling Shore and English for first year housing. We are still brainstorming solutions. Those students who do not yet have housing should prepare for the possibility that housing will not become available--have a backup plan and do some research on area apartments just in case. For those students who are housed on campus, please be patient with us. This situation means that students will have less lounge spaces to use, fewer kitchens, and will have to be more flexible in roommate issues, as we will not have free spaces to move students into. Our priority will be to reduce the triples as space becomes available, in the hopes of eliminating them as soon as possible. Fall 2009 Housing Check-In for All Residential Students
The fall semester is fast approaching! It is a hectic time for all students, whether you are new to Guilford or a senior. Please read the arrival information carefully to help make a smooth transition.
Room and roommate assignments are posted in Banner Web on the My Housing Overview Page and are now available for viewing. If you have a HOLD on your account, it must be cleared to view your information on this page. To view your hold, please go to Banner Web and check your Student Records, then contact the appropriate department concerning your hold. Once your hold has been removed, you should be able to see your assignment information the next day. If you are unsuccessful in contacting your roommate via email, you may send an email to kgray2@guilford.edu requesting additional contact information.
New Students and Transfers: Upon arriving to campus, your first stop is Sternberger Auditorium in Founders Hall. Once you have completed your check-in at Sternberger, you will proceed with the instructions below for all residential students. You cannot get your room key unless you have checked-in and received your Guilford student ID card.
All NEW residential students: After you have received your Guilford College student ID, you will go to Founders Hall, 2nd floor Commons area to start your move-in process. You will be asked to sign forms relevant to your residential living situation during this process (i.e., signing for your room key and RCR). After you have received your key and have gotten into your room, your Resident Advisor will stop by to complete your Room Condition Report (RCR) within a few hours. It is important to make a mental note of the condition of your room, so it can be noted on your RCR. If it is not noted on your RCR, you will be responsible for any damage at the end of the year.

When you arrive on campus, please do not park anywhere on the grass while unloading. On move-in days, it is permissible to temporarily park and unload along the curbs around the residence halls, but do not block access to handicap ramps, fire hydrants or dumpsters. If you bring your bicycle to campus, you must register it with Public Safety.
All RETURNING students: To make your move in easier, you may pick-up your room key in the residential areas. When you arrive on campus, please go to the following designated areas to check into your room:
- Apartments North, Apartments South, Cobb House and The Pines residents: Community Center lounge between the Apartments
- Bryan Hall residents: Bryan Lounge, 2nd floor
- English Hall, Pope House and Campbell House residents: English Hall kitchen, 1st floor
- Mary Hobbs residents: Front parlor, 1st floor
- Shore Hall residents: Shore lounge

Meal Plans: If the meal plan you selected does not suit your needs, please notify Kris Gray (336-316-2105 or kgray2@guilford.edu) before the end of the first week of classes. Meal plan changes are not accepted after the first week of classes. Apartment and Theme House residents may add a meal plan if not currently assigned a plan or you may upgrade at any time. For information about the College’s food service provider, Meriwether-Godsey, you may visit their website at www.merig.com or from our website at www.guilford.edu/dining.
Are your personal belongings protected under your parent’s homeowners insurance? It’s a good idea to check this out with your parents or insurance company. If not, you should consider insuring your belongings to be on the safe side. The College is not responsible for replacement of any damage or loss of student property. National Student Services, Inc. is a company that specializes in this type of insurance. For more information, you may contact them at www.nssi.com or by phone at 1-800-256-6774.
Residence Hall Linens: The Residence Life Office recommends that you purchase XL twin sheets. Residence Life has partnered with Residence Hall Linens to provide a wide variety of extra long twin sheets, comforters, bath, & storage items. A portion of the proceeds from this program go to support Residence Life programs and activities throughout the year. For more information and deadlines for ordering, please visit www.rhl.org/xyz. You may also purchase linens from your favorite retailer, but just make sure they are extra long.
Room Assignments: Room assignments are final. If you have a critical issue with your room or roommate, the Resident Advisor (RA) or Hall Director (HD) should be notified and any issues will be addressed on a case by case basis after move-in.
Arrival Information
Please reference the table below to find your check-in dates/times. At check-in, you will sign for your residence hall key to begin the moving process. You may not check-in to your room until your designated date and time. There are no exceptions. Students with holds placed on their student accounts will not be allowed to receive a room key until all holds are cleared with the appropriate departments, nor will they be given access to their rooms. Please take care of your student account or other holds prior to your arrival. (You can check for Holds in Banner Web.)
Unless prior approval is given by the Associate Dean of Campus Life or his/her designee, students are expected to check into their assigned rooms by the beginning of the FIRST DAY OF CLASSES. Failure to do so may be considered in violation of the housing contract and students may lose their spot in housing. If a student does not check into their room by the third day of classes, their space will be forfeited and will be charged a pro-rated amount for the room based on the amount of days not checked into their room.

Late Check-in and Mail Services
Returning fall athletes (NOT football) will arrive on Wednesday, August 19th and can pick up their room key from 9-11am, 2nd floor Founders Hall. If you arrive late, but before 5:00 pm, you can pick your key up in the Campus Life Office. If you arrive after 5:00pm, you will need to contact Public Safety at 336-316-2909, and Public Safety will let you into your room. You will be required to sign an agreement and will be charged $50 per night for each night you haven’t completed the check-in process with Residence Life. Keys will not be left at Public Safety for returning or readmitted students after business hours. Students with HOLDS will not be given keys to their rooms until those holds are cleared!
First year students and Transfers should check-in between the hours of 8am-2pm on August 19th. Those who arrive late should check-in at the Campus Life Office on the 2nd floor of Founders Hall until 5pm. Should you arrive after 2pm, please contact Campus Life at (336)316-2186, or after 5pm at (336)451-0740 to make arrangements. If you do not check-in properly, you will not have your student ID to access the dining hall. The student mailroom will be open during the hours of 10-4pm on Wednesday, August 19th. If you have shipped items to campus, the Mail and Print Services building (small building across from Bryan Hall) will be open during regular business hours.
Returning and readmitted students who arrive after the designated check-in time will need to wait until the next business day or check-in time (whichever comes first) to receive a key. If you need access to your room after check-in, call Public Safety at 336-316-2909 to gain access to your room. You will be required to sign an agreement and will be charged $50 per night for each night you haven’t completed the check-in process with Residence Life. Student Financial Services and the Registrar will be open during regular business hours (8:30am-5:00pm) on the weekdays and on the weekend the same times as housing check-in. The student mailroom will also be open during arrival weekend from 10am-2pm on Saturday, August 22nd and from 12-2pm on Sunday, August 23rd.
