Print/Copy Server Migration Information

Beginning Tuesday, July 22 IT&S will be migrating from our current print and copy queue solutions to a new, unified system that will reduce wasted paper, provide a web based solution for students to monitor and manage their printing and copying money, and eliminate the need for the FOB. Please see below for important information regarding this transition.

Wait, no FOBs?

That is correct. The new system uses your Quakercard to authorize and (if necessary) charge for your printing and copying. Early this fall IT&S will be setting up FOB recycling areas around campus to collect FOBs from students, faculty, and staff so they can be recycled. You may also bring your old FOB to the IT&S Help Desk at any time, and departments should feel free to collect the FOBs locally and bring them by as well. IT&S will also be delivering new departmental QuakerCards to departments and student organizations who currently have "departmental" FOBs.

Are you sure my QuakerCard will work?

Any Guilford College ID card that has a magnetic strip on the back will be accepted by the new print/copy system. Faculty, Staff and Students who have ID cards without the magnetic strip or who have misplaced their college ID may receive a new ID card free of charge from August 18 - 29 from the ID card office located in the lower level of New Garden Hall. After August 29th, faculty and staff departments and students will be charged a card replacement fee of $25 for each faculty, staff member, or student needing a replacement card.

What's happening the week of July 21?

IT&S will have a vendor on-site assiting with configuration and setup. During this week the FOB reader on the multi-function printers will be replaced with a new release station. Once that new release station is installed, you will use your QuakerCard to copy. How and when printing changes depends on who you are. For students, you will begin using your QuakerCard to release print jobs around August 8. Faculty and staff will be migrated to the new print system over the fall semester.

How will I know when I've been migrated?

  • FOR FACULTY: When we're ready to migrate, you'll be sent instructions on how to install the new print driver. Until then, you will continue to print as normal.
  • FOR STAFF: IT&S will be moving department by department to setup the new drivers. For the first few, an IT&S staff member will likely visit your department. Once we're confident in the process, we'll start emailing folks with instructions. Until then, you will continue to print as normal.
  • FOR STUDENTS: The lab computers will be updated automatically by August 8. After that happens, you will see four new printers (see below for further explanation), and your old printers will be gone. IT&S will be rolling out the option to print from your residence hall later this fall, and that information will be in the Buzz.

What about after that?

What happens during the transition depends on who you are.

  • FOR FACULTY: If you want to make copies at a multi-function device, simply swipe your QuakerCard. Your department will be billed for the copies in the same way and at the same rate as they are currently. Over the fall semester IT&S will be assisting you in remapping your printer to the new print server. Until that happens, you will continue to print as usual. After the change, you will continue to print as normal, and your department will continue to be billed for printing in the same way and at the same rate as they are currently.
  • FOR STAFF: If you want to make copies at a multi-function device, simply swipe your QuakerCard. Your department will be billed for the copies in the same way and at the same rate as they are currently. Over the fall semester IT&S will be assisting you in remapping your printer to the new print server. Until that happens, you will continue to print as usual. After the change, you will continue to print as normal, and your department will continue to be billed for printing in the same way and at the same rate as they are currently.
  • FOR STUDENTS: Students (NOT including Early College 9th and 10th graders) will continue to get a $12 allocation for fall semester, a $12 allocation for spring semester, a $4 allocation for first summer session, and a $4 allocation for second summer session.
    • FOR COPYING: If you want to make copies at a multi-function device, simply swipe your QuakerCard. The cost of the copy will be debited from your allocation. If you have exceeded your allocation for the semester, money will be debited from either your Campus Purse or Community Purse (in that order). If you need to add money to your QuakerCard, you will be able to do so via a web site launching in August or by visiting Student Financial Services during normal business hours.
    • FOR PRINTING: If you want to print, you will have four printers defined in your profile: Bauman labs black & white printers, Bauman labs color printer, the Bauman Plotter, the color printer in the Help Desk, and all other campus public printers. You will also have the option of installing these printers onto your personal computer via a web installer so you can print from your residence hall. Once you have printed your job, you can go to any appropriate printer to release your job. At the printer you will swipe your QuakerCard and select the job you want to print. Any print job not released within 48 hours will be deleted (you will not be charged for deleted jobs). The cost of the print job will be debited from your allocation. If you have exceeded your allocation for the semester, money will be debited from either your Campus Purse or Community Purse (in that order). If you need to add money to your QuakerCard, you will be able to do so via a web site launching in August or by visiting Student Financial Services during normal business hours.

How will this save paper?

Right now students sometimes print jobs to an unexpected printer and then reprint the job again. If you've ever been in the Bauman labs, you've seen the pile of paper from unclaimed jobs. This new system will ensure that you print only the jobs you want to print only at the printer you want. Other colleges (including Elon University and Duke University) have seen a reduction in paper usage of up to 50% when implimenting this system. In addition to only being charged for the jobs you actually wanted to print, that is a substantial positive impact on the environment, and one IT&S is proud to be able to support here at Guilford College.
