Instructions for New Student Employees

New Hires must come to the Office of Human Resources to complete proper payroll employment forms. If a student is under 18 years of age,  they must complete the NC Youth Employment Certificate. Please advise the students that they need to bring ORIGINAL documentation for the I-9 Employment Eligibility Form when they come to complete their paper work. Generally this original documentation would be a US passport OR a driver's license/student Guilford ID AND social security card or birth certificate. Please check the I-9 form for more detailed information.

Direct Deposit is required, so a voided check, or the student's bank account number, bank routing number and bank telephone number is needed.

All students (both work study and non-work study) must have an employment agreement (completed by their supervisor and the student) turned in to Human Resources. Work study employment agreements must be obtained from the student's financial services counselor. This agreement is used to place students into a specific job that generates an electronic time sheet through Banner Web Time Entry. Students may not work until the paperwork is completed!

All students are required to submit their time electronically via BannerWeb. Most departments still require that a paper time sheet be signed by the student and their supervisor. (Although Human Resources does not accept paper time sheets, they will keep a supply of blank time sheets for supervisor /student convenience.They may also be printed from the related links page.)

Students must enter and "submit for approval" their electronic time sheets by 11:59pm on the 16th of the month. Supervisors/Approvers need to approve time sheets by 5pm on the 17th of the month. When entering time worked, the hours are recorded in 15 minute increments. For example, if a student worked from 1:02pm to 2:00pm, he/she should enter 1:00pm to 2:00pm both on the paper time sheet and the on-line time sheet. We have Help sheets available for students to assist in helping them log in and post their time and help sheets for approvers to help login, designate a proxy, and approve time on-line. All students must input their time worked using BannerWeb on a DAILY basis. Once time is entered for all days worked,  You need to submit your time sheet for approval over BannerWeb by the 16th of every month.  Supervisors will then approve student time sheets using BannerWeb. Time sheets will then be automatically brought into the payroll process. Students may print out a copy of their time sheet through BannerWeb for their own records. Pay stubs are available on-line via Banner Web and be be printed out if desired.
