Orders for toner and paper should be sent to the purchasing department. Orders will be delivered within 36 hours upon recieving the request from purchasing in most cases.

Environmental Services (Housekeeping)

Department Manager: Gerald Little

The Environmental Services Department is committed to making sure that you live, learn and work in a comfortable environment. We accomplish this through our Building Services staff commonly known as Housekeeping. We are here to serve you. Landscape & Grounds

Department Manager: David Petree

The Landscape and Grounds department is committed to providing the campus with professional grounds maintenance services. Our goal is to create enjoyable space that safe, healthy and functional while being as sustainable as possible.

The department is responsible for the maintenance of:

  • All turf areas (including athletic fields)
  • All plant materials including the campus tree population and flowers beds
  • Roadways, sidewalks and parking lots

The department:

  • Routinely engages in campus improvement projects and/or assists with construction and renovations
  • Works with others across campus in a cooperative effort to provide a host of services related to campus life, athletics, enrollment and college relations.

Locks & Keys

Locksmith: Charles Cameron

The Facilities Department has a locksmith (Charles Cameron) on staff 20 to 30 hours per week to support Building Maintenance, Residence Life and Public Safety functions on campus. Requests for locksmith services should be directed as follows:

Student housing keys or lock problems -- Report the problem to Kris Gray x2105 in the Residence Life Office for Kris to contact the Facilities' Locksmith.

Office keys -- Turn in the completed key request form to the Public Safety Office. Forms are available at the Public Safety Office. An email notification will then be sent when the keys are available to be picked up.

Lock or key problems -- Place a work order request to the Facilities Department by email facilities@guilford.edu. Follow the Facilities procedures for emergency or after hours requests.

Environmental Health and Safety

Safety Manager: Ron Marshburn

The Safety Manager position falls under the Department of Facilities and Campus Services with the primary responsibility of the mitigation of injuries to students, faculty, staff, and visitors. The Safety Manager works to comply with local, state and federal laws and regulations. The organizations include but are not limited to: Occupational Safety and Health Administration (OSHA), the Environmental Protection Agency (EPA), the Center for Disease Control (CDC), the National Fire Protection Association (NFPA) and the National Institute of Occupational Safety and Health (NIOSH).

In addition to mitigation and preparedness activities, the Safety Manager works closely with Public Safety to coordinate a unified response to safety issues.

An easy to remember email address, safety@guilford.edu, has been created for you to forward any hazardous condition you may come across.

Please send sign requests to the facility departement e-mail address. Include size, color, font preference, copy, and quantity that you need. Signs requests will be filled in the order that they are received.

Mail & Print Services

Department Manager: Lynn Van Horn

  • The mail services hours of operation are from 8:30 am until 5:00 pm Monday thru Friday.  We need to have any outgoing mail for processing no later than 3:30 pm.  We do not handle any personal mail in the Mail & Print Services building, however stamps are available for purchase at the Student Mail Office in the basement of Founders Hall (maximum of 10 stamps).  Founders Hall is open 10:00 am until 4:00 pm Monday thru Friday (Fall and Spring semester).

      Faculty and Staff located in Dana receive mail in Archdale Hall. Faculty and staff located in Duke, King, Hege Cox and the Hut have mailboxes on the first floor of King Hall.  The boxes are generally accessible during the time there are classes in the building (8am – 10 pm Monday thru Friday).  Check with Security if you need access at other times.
  • To meter outgoing mail items we must have your department organization number written in the upper left hand corner on each piece or on the top piece of a rubber banded bundle.  If you have a bundle of letters that need to be sealed, flap the tongue of the envelopes up so that they are interlocked or make sure that all the flaps are down.  Please don’t mix.
  • International pieces MUST be separated from domestic mail and identified so they receive the proper postage and are not returned or delayed.
  • Mail for students must have their name and box number on it.  If you have multiple pieces you must have them in numerical box order (ascending) and banded together.  General distributions for all students must be a size that will fit in their boxes (3.5”x5.5”x15.5”).  A standard 81/2” x 11” sheet needs to be folded into thirds.  We require 48 hours for student distributions.  If you need faster service we will make every effort to provide you access to the boxes so you may distribute the pieces.

Incorrect addressing will delay your mail

  • If you have 200 or more pieces of mail Standard Mail (or 50 pounds or more total weight) or 500 or more pieces First Class Mail you may send them at a bulk discount rate.  They must be identical and processed in zip code order (ascending with lowest number in front) and you must provide us with an accurate count.  We need to have advance notice of such mailings and they should not be of a time sensitive nature that requires rapid delivery.  Please call to discuss in house printing and processing of bulk mail.  Mail Services ext 2122 Student Mail Services ext 2315

PRINT SERVICES

  • The print shop is located in the Mail & Print Services building.  We offer high speed duplicating services to all faculty, staff and student organizations.   In addition to single and double sided copying, collating and stapling, we do cutting, hole punching, folding, padding and binding (both comb 10 - 112 sheets and glue  15 - 125 sheets).  We copy on 81/2” x 11”, 8 ½” x 14” and 11” x 17” paper.
  • We require a 24 hour turnaround time on copy jobs (please understand that copy jobs are picked up daily when the mail is delivered to King Hall).  Some job require more time.  At the start of the school semesters (August and January) the volume of work demands that we ask for 48 hours notice.  This request is in place for the week before and the first full week of classes.  Exceptions to these time frames will be considered on a special request basis.
  • Items to be copied should be submitted through the Correspondence Center (CC) where they are logged in and assigned a Job Number for tracking and billing purposes.   Do not leave copy requests without a completed job order form (see attached sample). 
  • Jobs are processed as they are received and in order of due dates.
  • After completion the job is returned to the CC and checked in the log.  Items are either kept in the CC or if space allows placed in mailboxes by office or individual name per your instructions.  Please pick up work in a timely fashion.
  • The Correspondence Center also coordinates with us the distribution of printed matter to faculty and department mailboxes as well as maintaining the count. 
  • Personal copy requests are handled with payment by cash or check with the CC.
  • We will inform you if we are out of stock on needed supplies.  We ask that you allow ample time for ordering paper when placing jobs requiring 3,000 sheets or more.  If you expect to make repeat jobs - please advise us ahead of time to insure ample time to order enough paper to meet your timeline.
  • Sheets of paper and up to 2 reams may be purchased from the Print Shop, but more than 2 reams should be ordered through the Purchasing Department.
  • Call to check available stock.
  • We require that set ups for post cards or items with multiple copies on one sheet come to us camera ready. 
  • We do not copy directly from books.
  • Please submit clean originals on white paper when requesting copies or check with us to see if we have an original on file.  Originals may also be submitted electronically by emailing printshop@guilford.edu .  We ask that you include complete instructions in your email.
  • Copyright compliance is required - please provide written permission to be included in course packs. This can be obtained through the Follett Bookstore.  Contact Matt Walker (ext 2156) for information on this process.
  • Staff members (not work study students) handle the copying of exams.
  • While the copiers are capable of 90 copies per minute.  Please understand that circumstances sometimes arise that cause unexpected delays.
